Requesting and approving leave

Everyone requests their own leave from My Account, including administrators. Administrators review the team's requests under Settings then Staff Holidays, which opens filtered to Pending. Approved leave appears in the diary so nobody is booked while away. The Require admin approval switch can be turned off so staff approve their own.

Staff leave is handled in two places: everyone requests their own from My Account, and administrators review the team's requests under Settings then Staff Holidays. Approved leave shows in the diary, so nobody gets booked while they're away.

Requesting leave

Go to My Account — it's in the Settings list for administrators, and a tab of its own for everyone else. Below your account details there's a section for holiday requests where you enter the dates and a reason. Submit it and it goes to an administrator.

Reviewing the team's requests

Administrators go to Settings then Staff Holidays. Requests are filtered by Pending when you arrive, which is almost always what you want, with tabs for All, Approved and Declined alongside.

This page is only for reviewing other people's requests. If you're an administrator wanting to book your own time off, use My Account like everyone else — the page says as much at the top.

Approving or declining

Each pending request shows who it's from, the dates and their reason. Approve it and the leave is recorded and appears in the diary. Decline it and it's marked declined — worth a word with the person as well, since the status on its own doesn't explain why.

Turning approval off entirely

The Require admin approval switch at the top of the page controls whether requests need signing off at all. Switch it off and staff approve their own — their leave goes straight into the diary.

Sensible for a small, trusted team where the rota is a conversation rather than a process. Less sensible the moment you have enough people that two of them might book the same week off.

Leave versus business closures

These are two different things and it's worth keeping them straight. Staff holidays are one person being away while you stay open. Business closures, under Settings then Business Closures, are days the whole business is shut — bank holidays, the Christmas break — when nothing can be booked by anyone.
