Adding customers, keeping their details up to date and giving them portal access.
Add the owner first with their name and contact details, then add each animal underneath them. A customer can have as many animals as they need, and everything from bookings to messages hangs off this record.
Open a customer from the Clients list to see their contact details, notes, additional contacts and every animal they own, with Quick Actions down the right. Edit Client changes their details — the mobile number matters most, because it is where reminders and confirmations go. When a customer stops coming, set them to not active rather than deleting them.
The customer portal lets owners see their bookings, manage their pets and pay online. Invite a customer from their record and they set their own password — you never need to know it.
The Find Duplicate Customers report under Reports finds customers sharing a phone number or email address, ignoring +44/0/44 formatting. Choose which record is the master, check the preview showing which animals will move, then merge. A merge cannot be undone, so do not merge two records unless you are certain they are the same person.
Notes on a customer record are private — never shown to the customer and never sent to them. Use them for access details, contact preferences and anything that helps your staff. A customer can still request a copy under data protection law, so record facts rather than opinions. Notes about the pet belong on the animal record instead.
Settings then Mass Email sends one message to many customers. You get a limited number of blasts per billing period. The audience dropdown narrows it — everyone, anyone with an upcoming booking, or anyone who visited in the last 30, 90 or 365 days — and the page tells you the recipient count before you write. It does not use your SMS allowance.
